Rent Receipts for HRA: What Your Employer Actually Checks (2026 Guide + Free Generator)

Every January, payroll teams reject HRA proofs for the same handful of reasons — a missing landlord PAN, unsigned receipts, a revenue stamp question. Here's exactly what a valid rent receipt needs, and a free tool that makes all twelve in a minute.

Every year between January and March, employers ask for proof of investments and rent so they can finalise your TDS. And every year, a big share of HRA claims come back with a polite 'please resubmit' — almost always for the same few reasons. This guide covers exactly what a rent receipt needs to be accepted, when the landlord's PAN becomes mandatory, and how the exemption is actually calculated. If you just want the receipts, our free Rent Receipt Generator makes one for every month of the year in a minute — nothing is uploaded.

First: is HRA even relevant to you

The HRA exemption is available only under the old tax regime. The new regime — the default for most salaried people now — doesn't allow it. If you've opted for the new regime, rent receipts won't reduce your tax, and you can skip the paperwork. If you're on the old regime and pay rent, HRA is often one of the largest deductions you'll have.

What a valid rent receipt contains

Each receipt should show: the tenant's name (matching your payroll records), the landlord's name, the rent amount in figures and in words, the month it covers, the address of the rented property, how it was paid (cash, UPI, bank transfer or cheque), the date, and the landlord's signature. One receipt per month is the norm; a single receipt for the whole year is often rejected, because it doesn't prove the rent was paid month by month.

    The ₹1 lakh PAN rule

If the rent you pay in a financial year is more than ₹1,00,000 — roughly ₹8,333 a month — your employer needs your landlord's PAN. This is the most common reason claims get bounced. If the landlord genuinely has no PAN, a signed declaration from them saying so is usually accepted instead. Our generator flags this automatically when your yearly rent crosses the limit.

Revenue stamps — when they matter

A ₹1 revenue stamp is customarily fixed on receipts for cash payments above ₹5,000, with the landlord signing across it. For rent paid by UPI, bank transfer or cheque, the bank record is itself the proof, and most employers don't ask for a stamp. If you pay in cash, the generator adds a marked box on each receipt for the stamp.

    How the exemption is calculated

The exempt part of your HRA is the *lowest* of three numbers: (1) the HRA your employer actually paid you; (2) rent paid minus 10% of your salary (Basic + DA); and (3) 50% of salary if you live in a notified metro city, or 40% otherwise. Example: Basic of ₹50,000 a month, HRA of ₹20,000, rent of ₹18,000 in a non-metro. The three figures are ₹20,000, ₹13,000 (₹18,000 − ₹5,000) and ₹20,000 (40% of ₹50,000) — so ₹13,000 a month, ₹1,56,000 a year, is exempt. The rest of your HRA is taxed as salary. Which cities count as metros for the 50% rate is set by the tax rules, so confirm your city's status for the year with your payroll team.

    Paying rent to a parent

It's allowed, as long as it's genuine: the parent owns the property, you actually transfer the rent (ideally by bank, not cash), and the parent shows it as rental income in their own return. Paying rent to a spouse is generally treated with suspicion and is best avoided.

    Common rejection reasons, in order

Missing landlord PAN above ₹1 lakh. Unsigned receipts. Tenant name not matching payroll. One annual receipt instead of monthly ones. Rent amount that doesn't match the rental agreement. And, increasingly, cash payments with no trail — if you can, pay rent digitally.

    Make them in a minute

Open the free Rent Receipt Generator, enter your name, the landlord's name and PAN, the address and monthly rent, and pick the months. It produces one receipt per month — two to an A4 page — with the amount in words and a signature line on each. Print, get them signed, submit. Running payroll for a team and doing this every month? That's exactly the kind of paperwork we automate at HowAutomate.

    Frequently Asked Questions

How many rent receipts do I need for HRA?

Usually one per month for the months you are claiming — twelve for a full financial year. Many employers reject a single annual receipt because it doesn't show monthly payment.

Is landlord PAN mandatory for HRA?

Yes, if the rent you pay is more than ₹1,00,000 in the financial year. If the landlord has no PAN, a signed declaration from the landlord stating that is generally accepted instead.

Is a revenue stamp required on rent receipts?

A ₹1 revenue stamp is customarily affixed on receipts for cash payments above ₹5,000. For rent paid by UPI, bank transfer or cheque, employers generally don't require one because the payment leaves its own trail.

Can I claim HRA under the new tax regime?

No. The HRA exemption is only available under the old tax regime. Under the new regime, rent receipts do not reduce your taxable income.

Can I pay rent to my parents and claim HRA?

Yes, if the parent owns the property, the rent is actually paid (preferably by bank transfer), and the parent declares it as rental income in their own tax return.
