WhatsApp Lead Automation for Real Estate Agency
Built an end-to-end WhatsApp lead automation system for a Jaipur real estate agency handling 60+ daily inquiries from 99acres, MagicBricks, and Housing.com — auto-responding within 30 seconds, routing leads to agents, and running a 5-step follow-up sequence. Lead-to-site-visit conversion improved by 42% in 60 days.

The Challenge
A growing real estate agency in Jaipur was receiving 60–80 property inquiries per day across three portals plus direct WhatsApp messages. Their two-person team was manually responding to each inquiry — taking 1–3 hours to reply during busy periods. High-intent buyers who didn't receive a quick response were booking site visits with competing agencies. The team estimated they were losing 15–20 bookings per month to slow response times.
What We Built
We built a complete lead automation system using n8n and the WhatsApp Business API via AiSensy. Portal leads trigger via email parsing — n8n detects new inquiry notification emails, extracts the buyer's name, number, and property interest, and sends a WhatsApp message within 30 seconds with property details, images, and a Calendly booking link. The lead is simultaneously entered into Zoho CRM with full context. A 5-step follow-up sequence then runs automatically over 7 days. Agents receive real-time WhatsApp notifications with lead details and are only needed when a buyer responds.
How It Works
The agency's biggest problem was invisible: they had no idea how many leads they were losing to slow responses. When we audited their portal analytics, the data was stark — 40% of inquiries that didn't receive a WhatsApp reply within 30 minutes never responded to any subsequent outreach. At 60+ daily inquiries, that meant 24+ leads per day going cold before the team even got to them.
We mapped every lead source: 99acres and MagicBricks sent email notifications for each inquiry; Housing.com had a webhook option. WhatsApp direct inquiries came through the existing business number. All four sources needed to funnel into a single unified workflow.
The n8n workflow monitors the inquiry notification email inbox via IMAP. When a new inquiry email arrives, it parses the buyer's name, phone number, and property interest. Within 30 seconds, a personalised WhatsApp message goes to the buyer via AiSensy — including the specific property they inquired about, key details, two property images, and a Calendly link to book a site visit directly.
Simultaneously, the lead enters Zoho CRM with the property of interest tagged, the source portal noted, and the inquiry timestamp recorded. The assigned agent receives a WhatsApp notification with the lead's contact details. The agent's only job is to continue the conversation if the buyer replies.
The 5-step automated follow-up sequence runs if the buyer doesn't book a site visit within 24 hours: Day 1 evening — property brochure PDF. Day 3 — two similar listings at different price points. Day 5 — 'We have a site visit slot available this Saturday — would you like to come?' Day 7 — final touch with a no-pressure message. Each message is personalised with the buyer's name and the specific property they inquired about.
In the first 60 days after deployment, lead-to-site-visit conversion improved by 42%. The agency attributed this entirely to response speed — the same leads, the same properties, the same agents. Just faster responses and systematic follow-up. The team now handles 60+ daily inquiries with the same two staff members, spending their time on site visits and negotiations rather than manual messaging.
